Policies

We want your stay at The Hidden Loop to feel relaxed and easy. To make that possible, there are a few important things to know before you arrive.

If anything here is unclear, please contact us — we’re always happy to talk things through.

Booking & Payment

  • A deposit of 30% is required at the time of booking.

  • The remaining balance is due 7 days prior to arrival.

  • Payment method via card using Windcave

Bookings are confirmed once payment has been received and you have received a confirmation email.

Cancellation Policy

  • Free cancellation up to 14 days before arrival.

  • Cancellations within 7-14 days of arrival will incur 30% of the total booking cost.

  • No-shows are non-refundable.

If we are able to rebook your dates, we may offer flexibility at our discretion.

Check-In & Check-Out

  • Check-in: From 3pm

  • Check-out: By 10am

Early check-in or late check-out may be available by prior arrangement only.

We ask that guests respect check-out times so we can prepare the cabin properly for the next stay.

Maximum Occupancy

The Hidden Loop sleeps a maximum of 6 guests.

  • 1 King bedroom

  • 2 Single beds

  • 1 Queen loft bed (ladder access)

No additional overnight guests are permitted unless agreed in advance.

Children & Supervision

The cabin is located beside Kurinui Creek and includes a loft accessed by ladder.

Children are welcome, however:

  • Young children must be supervised at all times near the creek.

  • The loft may not be suitable for younger children.

Guests are responsible for assessing suitability for their group.

Sauna & Bush Track Access

The sauna is accessed via the private bush walking track.

  • The track includes uneven terrain and natural surfaces.

  • Suitable footwear is recommended.

  • Access to the track and sauna may be temporarily closed during periods of heavy rain for safety reasons.

Guests use the walking track and sauna at their own risk.

Liability

The Hidden Loop is a nature-based stay, and with that comes a level of personal responsibility.

The property includes natural hazards such as uneven terrain, slippery surfaces, open water (creek), and wood-fired elements including the sauna, hot tub and indoor/outdoor fires.

By staying at The Hidden Loop, guests accept full responsibility for their own safety and any risks associated with using the property and its facilities. All use of the walking track, sauna, hot tub, creek and fires is entirely at your own risk.

The Hidden Loop and its owners are not liable for any injury, accident, loss or damage that may occur during your stay.

Fire, Hot Tub & Wood Burner

Firewood is provided for the wood burner, sauna and hot tub.

Guests must:

  • Follow all lighting instructions provided in the cabin.

  • Ensure extractor fans are turned off when lighting the indoor wood burner (to prevent back-smoke).

Full operating instructions are provided on-site.

Outdoor Fire & Pizza Oven

  • Outdoor fires must be supervised at all times.

  • Use only supplied firewood.

  • Do not use during total fire bans or extreme wind conditions.

We reserve the right to restrict fire use during high-risk weather.

Septic & Composting Toilet

The main bathroom operates on a septic system.

Only toilet paper may be flushed.
Do not flush wipes, sanitary items, paper towels or foreign objects.

The additional outdoor composting toilet must be used in accordance with signage provided.

Failure to follow these instructions may result in charges for damage or call-out.

Pets

Pets are not permitted.

Respect for Property & Farm

The Hidden Loop is located on a working farm.

Guests must:

  • Respect fences and boundaries.

  • Not feed or disturb farm animals.

  • Leave gates as found.

  • Supervise children at all times outdoors.

Noise & Behaviour

We want guests to enjoy themselves - but respectfully.

  • No parties.

  • Please respect the peaceful environment and neighbouring properties.

Weather & Natural Environment

The Hidden Loop is immersed in nature.

Please note:

  • Weather conditions may affect access to the walking track and sauna.

  • Creek levels vary seasonally.

  • Surfaces may be slippery after rain.

Guests accept that natural environments carry inherent risks.

Cleaning & Damages

We ask that guests leave the cabin in tidy condition.

Excessive cleaning, damage, or breakages may incur additional charges.

Please notify us if anything is broken so we can resolve it promptly.

Privacy

We collect and use personal information so we can take bookings, answer enquiries and look after you during your stay. This statement explains what we collect and what we do with it.

What we collect:

  • Your name, email address and phone number when you book, enquire or buy a gift voucher

  • Booking details, including dates, guest numbers and any requests or requirements you tell us about

  • Payment information, which is handled by our payment provider and not stored by us

Where it comes from

Usually from you directly. Sometimes we receive your details from a booking platform such as Airbnb or Booking.com when you book through them.

How we use it:

  • To confirm and manage your booking

  • To contact you about your stay

  • To answer your questions

  • To meet our legal and tax obligations

We don't sell your information, and we don't use it for marketing unless you've asked us to.

Who we share it with

We use third-party services to run the business:

  • Preno, our booking system

  • Windcave, our payment processor

  • Squarespace, which hosts this website

These providers only receive what they need in order to do their part. Some may store information outside New Zealand.

How long we keep it

We keep booking records for as long as we need them, including the seven years required for tax purposes. Enquiries that don't lead to a booking are kept for a reasonable period and then deleted.

Keeping it safe

We take reasonable steps to protect your information from loss, misuse and unauthorised access.

Your rights

Under the Privacy Act 2020 you can ask to see the personal information we hold about you, and ask us to correct it if something's wrong. Email us at hello@thehiddenloop.nz and we'll help.

If you're not happy with how we've handled your information, you can contact the Office of the Privacy Commissioner at privacy.org.nz.

Changes

We'll update this statement if how we handle information changes.
